Fractional CTO & Technology Strategy
Senior technology leadership, without a full-time CTO salary
We act as your part-time technology lead: a clear roadmap, the right tools, a watchful eye after launch, and practical help putting AI to work safely.
Sound familiar?
- Every vendor tells us we need their software, and we can’t tell who’s right.
- We pay for tools nobody uses, and we’re not sure who owns half our accounts.
- Our website and integrations only get looked at after something breaks.
- Everyone says we should be using AI, but we don’t know where it’s safe to start.
What’s included
- A written technology roadmap: what to build, buy, keep or retire, and in what order
- Plain-English review of your current software, subscriptions and costs
- Vendor and tool selection, with recommendations you can actually compare
- An account ownership check so your business holds its domain, logins and data
- Ongoing care after launch: updates, security, uptime and integration health checks
- Alerts that tell you when a connection between your systems stops working
- An AI workflow review that finds where AI tools can safely save staff time
- Simple guardrails and staff guidance for using AI with customer information
Why a small business needs a technology lead
Most small businesses and nonprofits run on a dozen tools that were picked one at a time, by different people, for different reasons. A website from one company, shop software from another, a booking tool someone signed up for on a credit card, and a marketing account nobody can log into anymore.
Each choice made sense on its own. Together they cost money, leak leads and quietly create risk. Larger companies solve this with a chief technology officer, someone senior whose job is to see the whole picture. A small business can’t justify that salary, but it still has the same questions.
A fractional CTO answers those questions part time. We become the person you call before you sign a software contract, the one who notices a broken connection before a customer does, and the one who can tell you honestly whether AI is worth your time this year.
Who a fractional CTO is for
This service fits owners and executive directors who make technology decisions but don’t have time to become experts in them. Shops, contractors, restaurants, venues, churches, nonprofits and early-stage startups all reach the same point: the business has grown past “we’ll figure it out” but isn’t ready for a full-time technology executive.
If you are about to replace a key system, launch a new website or app, sign a multi-year software contract or roll out AI to your staff, that is the right moment to bring in a technology lead. A few hours of planning up front costs far less than undoing the wrong choice later.
How we work
1. Take stock of what you have
We start by listing every tool, subscription, domain and account your business depends on. For each one we note what it costs, who uses it, who owns the login and what would happen if it disappeared tomorrow. Most owners are surprised by at least one line on that list.
2. Build the roadmap
Next we write a short, plain-English plan. It says what to build, what to buy, what to keep and what to retire, and puts those steps in an order that fits your budget. You get reasons, not jargon, so you can make the call yourself or share it with your board.
3. Choose tools with you, not for you
When it’s time to pick software or a service, we compare the real options against how your team actually works. Then we make sure the new account is set up in your business’s name, with your email as the owner, so you never have to ask a vendor for permission to leave.
4. Stay on after launch
Technology isn’t finished when it goes live. We keep things updated and secure, watch uptime and run regular health checks on the connections between your systems. When something needs attention, you hear it from us first, in plain language.
Bringing AI into your workflow, safely
Tools like ChatGPT and Gemini can save real staff time, but only when they are pointed at the right work. As part of this service we look at how your team spends its week and find the tasks where AI can help: drafting routine replies, summarizing long documents, turning notes into first drafts, or sorting incoming requests.
We also set guardrails. That means clear rules on what customer or donor information should never be pasted into an AI tool, which accounts your staff should use, and where a person always reviews the result before it goes out. The goal is time saved without new risk.
What it looks like in practice
Our fractional CTO work grows out of the systems we already run for clients. A few examples:
- Integration health checks. For MCA WoodWorks, a Kansas City remodeling contractor, website inquiries flow straight into JobTread. A weekly check keeps that connection alive and emails the owner if it ever breaks, so a quiet failure never turns into missed jobs.
- A safety net for leads. At Adventure Motors in Grandview, every lead is saved before it is sent to Shopmonkey, and a daily job automatically retries any that failed. An outage on someone else’s side never loses a customer.
- Retiring what no longer fits. The same shop replaced Calendly with booking on its own site, where each booking creates a named Shopmonkey order and double-booking is prevented. One less subscription, and one less place for customers to get lost.
- Owning a product end to end. We run Press It!, our own two craps games, across four native iOS and Android apps and a marketing site. Releases, store billing, testing and ongoing updates are all on us, which is exactly the kind of long-term ownership we bring to clients.
Why partner with Ember Digital
We are a small software studio serving the Kansas City metro and Austin, plus clients nationwide. We build and maintain the systems we recommend, so our advice is grounded in what actually holds up after launch.
You own your accounts, your domain and your content. Our job is to make your technology make sense, not to make you depend on us.
We explain things plainly, we put recommendations in writing, and we stick around. If you want a senior technology partner without adding a senior salary, let’s talk.

What is a fractional CTO?
A fractional CTO is a senior technology leader who works with your business part time instead of as a full-time hire. They set your technology roadmap, help choose vendors and tools, and keep an eye on your systems after launch. You get the same strategic guidance a larger company gets from a CTO, at a fraction of the cost.
Does my small business need a fractional CTO?
Your small business likely needs a fractional CTO if you rely on several software tools, websites or integrations but nobody owns the big picture. Common signs are paying for unused subscriptions, not knowing who controls key accounts, and learning about broken systems from customers. If technology decisions feel like guesswork, a part-time technology lead usually pays for itself.
How much does a fractional CTO cost compared to a full-time CTO?
A fractional CTO costs far less than a full-time CTO because you pay only for the hours and scope you need. Most small businesses and nonprofits need a few hours of strategy and ongoing care each month, not a full executive salary. We scope each engagement around your goals and budget before any work starts.
Can a fractional CTO help us use AI safely?
Yes, a fractional CTO can find where AI tools like ChatGPT or Gemini will actually save your staff time and set rules for using them safely. That includes deciding which information should never go into an AI tool and where a person reviews the output. The aim is practical time savings without putting customer or donor data at risk.
